Position Summary:

Interacts with applicants, students, faculty, staff, Student Affairs Offices, and Academic Affairs with all activities pertaining to the processing of applications for admissions to UTHealth’s academic degree programs and student registration. Works with all other office staff to ensure the achievement of the Registrar's Mission Statement.

 

Position Key Accountabilities:

1.    While providing exceptional customer service, responds to non-routine correspondence or telephone contacts to every person that reaches out to the Registrar's Office within guidelines established by supervisor. Handles basic to moderately complex inquiries and receives and directs visitors.
2.    Makes recommendations to the Registrar or Associate Registrars regarding business process improvements, policies and processes to stay up to date with enrollment and registration best practices.
3.    Performs data entry and data maintenance of application support information for applicants, students and alumni into Campus Solutions database.
4.    Compiles data from reports using required knowledge of departmental, project, and/or university policies and procedures. 
5.    Provides accurate and timely application and registration information to the university community.
6.    Reports and maintains student status data to external and internal agents.
7.    May be responsible for the daily processing of certification of enrollment and/or verifications – manual and online.
8.    May process admissions documents and verify receipt of transcripts and degrees (as noted on application) for entering students using Optical Character Reader (OCR) technology.
9.    Assists with grade posting and changes as needed.
10.    Processes class updates and schedule changes as requested.
11.    Maintains official student records via the document management system.
12.    Assists in graduation process, including but is not limited to, processing and tracking degree applications, name changes, correspondence with students in reference to degree audit and proof-reading diplomas as assigned.
13.    May assist Associate Registrar with system setup for course registration.
14.    Assists academic admissions staff during peak admissions cycles.
15.    Collaborates with others outside of the Registrar’s Office to ensure timely completion of tasks needed to allow review of an applicant’s file by the admissions committee.
16.    Ability to handle confidential information and sensitive issues.
17.    Maintains office supplies and equipment. 
18.    Assist Registrar with scheduling meetings as needed.
19.    Performs other duties as assigned.

Certification/Skills:

None

Minimum Education:

High School Diploma or equivalent.

Minimum Experience:

Three (3) years of registrar and/or admissions experience or related.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Security Sensitive:

This job class may contain positions that are security sensitive and thereby subject to the provisions of Texas Education Code § 51.215

Residency Requirement:

Employees must permanently reside and work in the State of Texas.
