Position Summary:
Serves as a Co-managing Editor of an international, peer reviewed medical journal that is published weekly. Oversees the daily operations of the journal which includes coordinating the trafficking of manuscripts through copy editing and production stages, managing the financial reporting to the University and St. Luke’s Hospital, and compiling statistics for preparation of the biannual Editor’s report presented to the Scientific Publishing Committee of the American Heart Association (AHA).
Position Key Accountabilities:
1. Manages and implements the administrative operations and manuscript production processes required for a weekly publications of journal for both online and in print.
2. Oversees staff work and special assignments to ensure that journal’s performance standards are met. Delegates and reassigns work as required based on staff absences and /or special projects.
3. Assures that journal deadlines are met for review of manuscripts. Contacts reviewers daily with regards to late reviews. Contacts Associate Editors and Guest editors twice a week concerning late decisions. Produces weekly reports on manuscripts that are behind in the decision-making and follows-up with reviewers and editors.
4. Maintains good working relationships with manuscript reviewers in the international cardiovascular community, the production director of Lippincott Williams & Wilkins, and the executives of the AHA.
5. Provides quality control for all correspondence related to manuscript decisions. Proofreads decision letters for correctness, proper attachments, and overall accuracy. Ascertains the Statistical reviews and other special handling are accomplished as required.
6. Provides quality control for materials going to the Editor in Chief for signature or review. Reviews decision folders that have been prepared for the Editor in Chief’s action. Reviews the agenda for the weekly Associate Editors manuscript review meeting.
7. Compiles statistics for the biannual Editor’s report which is presented to the Scientific Publishing Committee of the AHA.
8. Prepares quarterly Honoraria Report for compensation to Editor and Associate Editors
9. Prepares annual budget for the editorial office. Develops annual budget for salaries and benefits for UT and for operating expenses for St. Luke’s which are both funded by the AHA.
10. Handles correspondence for editor.
11. Supervises office maintenance. Ensures that equipment is properly maintained, and orders equipment as needed. Serves as a liaison with supply vendors, courier services, St. Luke’s Episcopal Hospital computer support technician and other St. Luke’s support staff.
12. Attend national and international meetings to represent the journal and the AHA.
13. Manages Human Resources activities of department in regards to: recruiting and selection, hiring and termination, training, professional development, mentoring, counseling, performance evaluations, and salary planning.
14. Other duties as assigned.
Certification/Skills:
Minimum Education:
Bachelor’s degree in Journalism or English.
Minimum Experience:
7 years experience in publishing preferably in an academic setting. 2 years management experience preferred.
Physical Requirements:
Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.
